Position Title: Business Operations Coordinator

Job Summary: The Business Operations Coordinator supports the daily activities of the CEO while organizing and synchronizing the activities of various managers and departments within the company. S/he will provide executive services, aiding the operational, sales, marketing, finance, development and product teams. This position will work across company departments to support internal teams and strategic objectives. This person must be a master communicator to be effective and successful. The ability to quickly and independently process ideas and implement changes is an invaluable attribute for a Business Operations Coordinator.

Key Responsibilities

  • Work closely with CEO to support the operational and strategic objectives of the organization
  • Review and revise CEO schedule
  • Prepare, review, and edit correspondence via use of email and letters
  • Assist managers in day-to-day coordination and management of business operational activities
  • Schedule, coordinate, prepare materials, and provide recordkeeping for staff meetings, work groups, and Board of Managers meetings
  • Assist in collection and preparation of monthly and annual operating reports
  • Responsible for managing the day-to-day operations of the office, including supply requisition
  • Direct facility services (e.g. maintenance of building)
  • Prepare corporate presentations at the direction of senior management
  • Maintain clear and accurate operations documents/procedures (SOPs) for reference purposes
  • Organize and maintain files and records
  • Plan and schedule meetings and appointments for executive staff
  • Serve as project manager for select executive level projects
  • Make travel and lodging arrangements for CEO, staff and guests
  • Anticipate needs of external guests prior to their arrival
